Privacy Policy 

Nova Chocolates takes your privacy very seriously. This notice explains how I protect and use the information you give me. This notice has now been updated in line with the new General Data Protection Regulations (GDPR) on the 24 May 2018. 

What This Privacy Policy Covers
This policy covers how Nova Chocolates treats the personal information that it receives, including information related to any past trading with Nova Chocolates. 
Personal information is information about you that is personally identifiable like your name, address, e-mail address and that is not otherwise publicly available. 

Information Collection and Use 
I collect and store minimal information via the following methods:

*Handwritten orders or talk and demonstrations bookings taken by telephone. ·        
*Letters or booking confirmations received in writing from customer 

Nova Chocolates collects personal information (such as your name, phone number, e-mail address and postcode) when you place an order on the website. This information is used solely for the processing, delivery of your order, and internal reporting to meet legal requirements e.g. invoices for tax information for HMRC. 
You will receive emails from us on the status of your order. We may contact you by phone to discuss a query with your order. 
Contact Form  
If you choose to use the contact form on our website we only use the email and information entered for the purposes of replying to your query. We do not use the email for any other purposes.

 Information Sharing and Disclosure
Protection of personal data
Any information you submit will never be sold or passed to third parties, apart from the necessary delivery companies, unless you give me written permission to do so, or unless I am required to do so by law. 
Your information is intentionally shared with the following third parties solely for the purposes of order delivery and company legal reporting.
Couriers -Nova Chocolates orders are sent by Royal Mail or reputable courier companies. The information shared is used for delivery only. 
Accountancy and legal reporting – I have a legal obligation to report to HMRC for taxation purposes. To meet this obligation I retain invoice information as a company legal requirement. It is not used for any other purpose. 
Payment Processing All online payments are processed by my transaction service provider, PayPal. 
Nova Chocolates does not hold any credit card details. I cannot see your payment card information. i only have the ability to refund transactions. 

Cookies
A Cookie is a small file which is placed on a computer’s hard drive, or in the browser memory, to make a website work, or work more efficiently for returning visitors. 
My website is hosted by Vistaprint, and it uses a cookie to count the number of unique visitors to the website, so that Vistaprint knows how many people visit the websites they are hosting. This information is reported to me via my websites dashboard. This cookie does not collect information that identifies a visitor. It does not use or store any personally identifiable information and is not employed for any other purposes.
By using this website, you agree that I can place this type of cookie on your device.  There are two types of cookies: session cookies, which your browser automatically deletes after leaving the site, and permanent cookies, which are not automatically deleted (but you can do that yourself by amending your settings).
Nova Chocolates’ website downloads a session cookie to your browser to allow our shopping cart to function.

 Printed Invoices 
Nova Chocolates sometimes prints order packing notes and invoices for your order. All printed invoices are held in our secure locked premises prior to dispatch. 
Where orders are to be sent to the same address as the billing address, and are not a gift to a different recipient, I include the paper copy of the order inside your parcel. 
Where orders are sent as a gift to a different recipient i don’t include the invoice in the order (as this might spoil the surprise). In this instance I shred any paper printed copies via a secure cross shredder. 

How do I store your personal date 
All your order or booking details are stored on a password-protected computer that only I control. Files are backed up regularly to an external hard drive, which is stored in a secure, locked location. I do not use cloud storage for client information. 
Any written data, e.g. booking forms, letters or copies of invoices, are stored in a locked location and, as a sole trader, I am the only person who has access. 

How long do I keep your data for
 HMRC requires me to keep records for a minimum of 5 years after the 31 January submission deadline of the relevant tax year. Please ask if you want me to delete or amend your records. As long as I am complying with HMRC’s legal requirements, I’ll action your request immediately and send you confirmation that this has been done.
